Conclusion

Through this blog I realized the importance of many of the themes developed. In addition, I discovered my strengths, weaknesses, opportunities and threats. This is a new form to create a portfolio; it is more creative, dynamic  and fun way to work that.

Messages and Notes

SHORT MESSAGE IN A BUSINESS


In most businesses the employees take messages or notes to provide the person that call to the company and institution. It is often necessary to leave short messages for colleagues. It is a good idea to keep your message short and simple and use informal language.

This messages often include the following information:
Contact details
Time, day or date of the message

Sample messages, these are the requirements:

  • Telephone Number:
  • Messages:
  • Messages taken by:
  • Date:
  • Time:


Sample notes, these are the requirements:
  • Greeting
  • Message
  • Closing


The messages and notes are very useful when we need to take the information from other people and then given the message to a friend.

Faxes

STILL USE FAXES IN BUSINESS

Fax is another technique to send documents quickly. When people have important document to send, they often send a copy by fax first. We should use the fax in the following situations: to place and confirm orders for goods and supplies, to make hotel and travel bookings, to request and confirm payments, to make and answer enquiries, to request action or give instructions, and to send copies of documents.



In the fax you should include the following components:
  1. Letterhead (company name)
  2. Name of the person the fax is to
  3. Name of the person sending the fax
  4. Sender's fax number
  5. Date
  6. Number of the pages-is very important if a page is missing, you can ask to the person sending the fax. And he/she can resend the page.
  7. Subject
  8. Body of the message
  9. Closing
  10. Signature (hand written)

Positive:
  • To send documents quickly
  • If you do not have Internet, this technique can be used to communicate with other companies, supplies, among other.


Negative:
  • If an blackout occurs, the documents can not be sent
  • All the business does not have fax


In my personal opinion, the faxes should not be used for the company because all the enterprise does not have this device

Emails

THE PURPOSE OF AN EMAIL

It is a fast and cheap way to communicate. Sometimes the emails are very short and informal, and other times  they are longer and more formal, like a letter. Email is one of the most common method used by people to communicate quickly with people, department, country, business, among other.



The purpose of the email can be: to ask for or send information, to ask people to do things, to give instructions or directions, to confirm arrangements that you have discussed by phone, an to send longer documents. In this technological era email is an important tool for anyone, because with just one click you can send an urgent message in seconds. What a simple letter mailed take days or even months depending of the distance.

The following components should appear on the page:
  1. Name of the person/people sending the email
  2. Name of the person/people the email is addressed to
  3. Other person or people who will receive a copy of the email though it is not addressed directly to them
  4. The date and the time when the email is sent
  5. Information about the content of the email
  6. A document is attached
  7. Opening
  8. Body of the message
  9. Closing
  10. Name


Some recommendations to write a correct email, we can mentioned the following: use short sentences and simple language, do not write emails in CAPITAL letters, use polite language for instructions and requests, and always read the emails before you send it.

Positive:
  • Fast and cheap way to communicate
  • Do not contaminate the planet, because you do not need use pages


Negative:
  • You need have Internet to send it
  • All the people does not have the time to check and read email

We have to be in the vanguard of technology, because every day is created a new method or device that allows us to communicate from miles away. If we are not informed of this, would become outdated.

Plan your writing

NOTES TO WRITE

When you write a note, letter, speech, and other methods of communication you need make a plan where you use a technique like a brainstorming, then to rewrite your idea about the topic selected. In this section will be offering you some tips about how to make your writing plan:

Make a plan:
Think about these questions: who am I writing to? Why am I writing? and what does the reader know? These questions helps you to choose the right language, and at the same time be polite. It is important to be clear the purpose so that you can make it clear for your readers. And remember, too much information can be confusing. For example: if you are going to write about technology, you have to know the age and knowledge of the people are going to read your writing. If you do not take or investigate this aspects, the person cannot understand.

Write Notes:
Decide about the information you need to include. Do not worry about the mistakes, write short clear sentences and use a dictionary to find important words.

Write a Final Version:
You can change the order of points, add more information, check the sentences are clear and correct, use a grammar references and use a dictionary.

Check for mistakes and politeness:
Always check your writing before you send it. You can check: if you include all the important information, is the message is clear and easy to read and understand, if you do not have grammar or spelling mistakes, the style is right and it is polite.

Positive:
  • You can order your ideas to create a understandable reading
  • You can check the sentences
  • You can include all the important information
  • Help you to choose a right language, and others


Negative:
  • Spend much time planning


It is very useful but only if you have all the time to plan what are you going write, because you can check if the grammar, polite, style, words, all the things that you write is in the correct form.
